The school on paper
Before Linksoft, Springbuds School ran the way most Pakistani schools still do: on paper, everywhere. Admissions lived in paper registers. Fee tracking lived in paper registers. Contacts, payroll, teacher attendance — registers. Fees were collected against paper vouchers, staff were paid against paper payroll slips, and the school’s knowledge of itself was distributed across filing shelves.
Paper systems do work — schools ran on them for a century — but they work at a price paid in administrator hours and stress. Every fee position had to be assembled by hand. Every payroll had to be reconciled against attendance records kept separately. And one task stood out as the term’s recurring ordeal: building the timetable took four to five days of manual work — checking every class against every teacher’s availability, hunting for overlaps, clashes and inconsistencies, and starting over when one change rippled through the grid.
What changed
Springbuds deployed the Linksoft School Management ERP System, and the paper operations moved into one database with nine role portals — every role in the school seeing exactly its own work.
Admissions and records. Every admission record entered the school database digitally; every employee record, previously paper, digitized into a fast, secure central database.
Fees, without the stress. Fee management became digital end to end: automated fee voucher generation, vouchers sent to parents, fee tracking against every student. Admins and finance managers adjust any student’s fees when circumstances require, and generate additional vouchers — book charges, field trips — without a parallel paper process. Reporting shows total revenue, total outstanding fees and the other statistics a school’s finance office actually runs on.
Payroll tied to attendance. Staff and teacher attendance is tracked in the attendance module, where late entries and absences are clearly visible. Payroll deductions for lates and absences happen automatically — with the admin holding the option not to deduct. Every employee, whatever their role, sees their own payroll and attendance details on their portal.
The timetable, in seconds. The system’s timetable algorithm generates the complete, clash-free timetable — teacher availability, all constraints respected — in under 5 seconds. The task that took the school 4–5 days now completes before the page finishes loading, and the generated timetable can still be edited by hand, with the system keeping it consistent.
Nine portals, one school
The system runs as a nine-portal ecosystem, each role with its own view:
- Super admin and admin — every operation of the school, visible.
- Student affairs / academics — grade promotions, changes, transfers, pass/fail decisions and the rest of the academic record.
- HR — attendance review, leave requests, HR operations.
- Finance — fee issuance and tracking.
- Teachers — their classes, uploading results and material, their own timetable, payroll, attendance, and leave requests.
- Students — timetable, results, and material their teachers upload.
- Parents — their children’s grades, performance and fee vouchers.
- Librarian — the library: books, issuances, fines.
The point of the architecture is that nobody asks anybody for routine information anymore. The parent sees the voucher. The teacher sees the timetable. The finance office sees the outstanding-fees position. What used to be a chain of requests is now nine screens reading one database.
What this case shows
Springbuds is the honest shape of school digitization: not a partial tool bolted beside the registers, but the registers retired — admissions, fees, payroll, attendance, timetable and library in one system.
