AGENCIES & MEDIA

Agency management software for the work, the client and the team

The Linksoft Agency Operating System runs a service business end to end: what every person is working on, what every client has asked for, who turned up today, and what everybody gets paid. One database, four portals, and a client portal that replaces the WhatsApp group.

Built for agencies that bill their people's time — digital marketing, advertising, creative and production houses, media buying, social media, web development, PR and promotions, customer experience and business process outsourcing.

The problem

01

Nobody can say what the team is working on

Work is assigned in meetings and messages, so the only person who knows the full picture is the one being asked. Capacity is guessed at, and the answer arrives after the deadline.

02

The client relationship lives in WhatsApp

Briefs, revisions and approvals sit in a chat thread on someone's personal phone. When that person leaves, or the phone does, the history and the accountability go with it.

03

Late work has no consequence and no record

Everyone knows which deliverables slipped and nobody can prove it. Without a record of who committed to what and when it actually landed, accountability is a conversation rather than a fact.

04

Attendance, leave and payroll are three separate arguments

Field staff mark attendance by message, leave is approved verbally, and payroll is rebuilt in a spreadsheet each month — so every deduction becomes a dispute.

Agency Operating System

Four portals, plus one for the client

Each role sees the system from where it stands, and all of them read and write the same database — so a task reassigned by a manager reaches the employee's board, the workload view and the client's status in the same moment.

01

Super Admin Portal

The whole company at once: every user, every team, every board. Custom roles and permissions for the cases the standard roles do not cover, plus company-wide configuration and the shared media library.

02

Manager Portal

Company-wide and team boards with drag-and-drop assignment, the delivery calendar across every client, workload balancing and reassignment, and the analytics and monthly reports that go out to clients.

03

HR Portal

The employee lifecycle end to end: records, attendance devices, policies, shifts and holidays; leave approval; and the full payroll run — compensation, bonuses, deductions, loans, advances, adjustments and statutory items.

04

Employee Portal

A personal board of assigned work, own attendance and leave, leave requests, payslips, penalties and the right to appeal them, editable profile fields, and control over which notifications arrive.

05

Client Portal

Your client's own login: submit requirements, request revisions, talk to the assigned team, and read the analytics and monthly reports you publish to them. The work stops living in a chat group.

06

In-built private chat

Team and client conversation inside the system, on the company's own database, so discussion sits next to the work it concerns rather than on a third-party platform nobody controls.

Deployment

How deployment works

Every deployment is scoped with you before any commitment — records, training and go-live support included.

  1. 01

    Live in production

The system runs the day-to-day work of a Karachi digital marketing, advertising and creative agency. It was built for a real operation before it was offered to anyone else.

  2. 02

Attendance that works in the field

Staff working away from the office — a shoot at a client's premises, a site visit — mark attendance from the mobile app. It records without a connection and syncs when the signal returns.

  3. 03

    Notifications that reach people

Assignments, approvals and deadlines reach users whether or not they are logged in, so work does not wait on somebody opening a tab.

  4. 04

    Shaped to your agency

Teams, departments, roles, permissions, shifts, holidays, attendance policy and penalty rules are all configured to how your agency actually runs, not to a template.

Questions, answered

What is agency management software?

One system covering the three things a service business runs on: the work (who is doing what, by when, for which client), the client relationship (briefs, revisions, approvals, reporting), and the team (attendance, leave, payroll, accountability). Agencies typically run these in three or four disconnected tools plus WhatsApp, which is why the picture never adds up.

How is this different from a project management tool?

A project tool shows you the tasks. It does not know who was at work today, what that person is owed at the end of the month, whether the client has approved the revision, or which deliverables have slipped often enough to matter. Those are the same question in an agency, and answering them separately is what forces the spreadsheet back into existence.

Do our clients get access?

Yes, through their own portal. They log in to submit requirements, ask for revisions, talk to the people assigned to them, and read the analytics and monthly reports you publish. They see their own account and nothing else.

Can staff mark attendance from outside the office?

Yes. Field and outdoor attendance is marked from the mobile app, which works without an internet connection and synchronises when connectivity returns — built for the shoot at a client's office and the site visit, not just the desk.

Does it handle payroll, or only attendance?

The full run. Attendance feeds payroll directly, and the cycle covers verification, compensation, bonuses, deductions, loans, advances, adjustments and statutory items. Employees see their own payslips, penalties and attendance on their portal, which removes most payroll arguments before they start.

Can we hold people to their deadlines with it?

The system records what was assigned, what was committed to and when it actually landed, so delivery becomes a fact rather than a recollection. Penalties for late work can be applied through it, and the employee can appeal them in the same place — because a penalty with no route of appeal is a policy nobody trusts.

Is it only for marketing agencies?

It fits any business that bills its people's time against client work: advertising, creative and production, media buying, social media, web development, PR and promotions, customer experience and business process outsourcing. The shape of the problem — work, clients, people — is the same across all of them.

Can we see a demo?

Yes. We walk through the system with your own scenario rather than a scripted tour, and we will tell you honestly which parts fit your agency and which would need building. Ask us through the contact page.

The work, the client and the team, in one system.
